Terms of Service

Effective 7 November 2026

The agreement between your organisation and ZA TechLabs, trading as Mavecy. Your records stay yours, you review what Mavecy prepares before you send or approve it, and South African law, including the Consumer Protection Act where it applies, protects you.

1. Agreement and provider

Mavecy is supplied by ZA TechLabs, trading as Mavecy, with its principal address in Cape Town, Western Cape, South Africa. Contact us at info@mavecy.com. References to "Mavecy", "we" and "us" mean that business. Full details are on Contact and Company Details.

These Terms govern access to Mavecy by the subscribing organisation ("you") and its authorised users. The person accepting these Terms confirms authority to bind the organisation. We present these Terms and the Privacy Notice for acceptance when an account is created, and keep a record of the version accepted, the time and the account that accepted it.

Your plan, as shown on the sign up and plan pages, identifies the included modules, billing period, fees and usage limits. The Data Processing Agreement governs personal information we process on your behalf. A separately signed agreement takes precedence where it expressly varies these Terms. Mandatory law applies despite any inconsistent provision.

2. Accounts and authorised users

Provide accurate registration and billing details. Your organisation controls its workspace, user invitations, roles and permissions. Users must protect their passwords and report suspected unauthorised access to info@mavecy.com promptly. Access customer and employee information only within your authority.

Tell us promptly if ownership or administrator access needs to change. We may ask for reasonable proof of authority, such as an email from the registered account address or company documents, before changing access.

3. Services and availability

We provide the functions included in your plan. Features depend on enabled modules, your configuration and third party services you connect. Plan descriptions show material limits before purchase.

Planned maintenance is announced by email to the workspace owner and in the app at least 24 hours ahead where practicable, and done outside support hours where possible. We work to keep Mavecy available but do not offer a guaranteed uptime percentage unless a signed service level agreement says so.

We may improve the service. If a change materially reduces a paid function during a period you have already paid for, we will give at least 30 days' notice and you may cancel and receive a pro rata refund for the unused paid period.

4. Customer records and responsibilities

You keep ownership and your rights in the records you upload or create. You give us the limited permission needed to host, process, transmit, back up and support those records to provide the service. This permission does not allow any unrelated use of your records, and we do not sell them.

You are responsible for lawful collection, accuracy, required notices and lawful instructions for records you upload. Review quotes, invoices, receipt readings, payroll calculations, reports and AI suggestions before approving, sending, paying or submitting them. Confirm that Mavecy meets your record keeping needs and keep copies through the export options described in Security and Data Handling.

Tax, payroll and accounting results depend on your data, settings and the applicable rules. Mavecy does not file returns, make payments or give professional tax, accounting or legal advice unless a signed agreement expressly includes it. Your duties apply alongside our own contractual and legal duties.

5. Fees and subscriptions

The Subscription, Cancellation and Refund Policy forms part of this agreement. We show the price, VAT treatment, billing interval, renewal and cancellation details before you pay. Extra paid features are only charged after you choose and pay for them.

6. Third party integrations and AI

Connecting an external service, such as Google Calendar or your own PayFast account, authorises the data exchange described when you connect it. Those providers have their own terms and privacy notices. Our Subprocessors page lists providers that process customer personal information on our behalf. The AI Features Notice explains AI processing and the review step.

7. Intellectual property and confidentiality

Mavecy and its licensors keep all rights in the software, branding and documentation. Your subscription gives your organisation the right to use Mavecy for its own operations while the subscription is active. Do not copy, resell, reverse engineer or build a competing product from it.

Each party must protect the other party's confidential information, limit access to people who need it, and use it only for this agreement. This does not cover information that is already lawfully public, independently developed, or lawfully received without restriction. Disclosure required by law is allowed, with notice to the other party where lawful.

8. Suspension and termination

We may restrict access where reasonably necessary to deal with unlawful use, a serious security risk, a material breach or unpaid fees after notice under the billing policy. Restrictions will be proportionate. Where lawful and reasonably practicable we will explain the issue first and give you a chance to fix it. Urgent protective action may come before notice.

A suspension is temporary and does not delete your records. Cancellation and access after the end of a subscription follow the billing policy and the retention periods in Security and Data Handling. Confidentiality, outstanding payments, data handling duties and rights that arose before termination continue after it.

9. Responsibility and disputes

Each party is responsible for loss caused by its own breach, negligence or unlawful conduct, subject to applicable law. These Terms do not include a monetary cap on liability.

South African law governs these Terms, subject to any mandatory protections that apply to you. Send complaints to info@mavecy.com with your workspace name and supporting details. We acknowledge complaints within 2 business days and give a written response within 10 business days, or tell you why we need more time. Either party may still seek urgent relief or use regulatory bodies and the courts.

10. Changes

Revised Terms show their date at the top of this page, and we keep earlier accepted versions. We give at least 30 days' notice by email of material changes. Where your agreement to a change is legally required, we will ask for it. Changes never remove rights you have already gained.
